Personal Assistant to Executive Management team
in a biotech company focused on the discovery, design and development of innovative peptide-based medicines
Currently, we are looking for two Personal Assistants to provide high-level administrative support to our Executive Vice Presidents at Zealand Pharma. This role requires a highly experienced professional with a deep understanding of executive-level administrative functions, exceptional organizational skills, and the ability to anticipate the needs of senior leaders. The Executive Personal Assistant will work closely with EVPs, facilitating their daily operations, managing complex schedules, and driving critical strategic initiatives forward.
Responsibilities:
- Provide comprehensive executive support to our Executive Vice Presidents, ensuring seamless coordination of all administrative activities.
- Serve as the primary point of contact for internal and external stakeholders, managing communications, prioritizing requests, and ensuring prompt responses.
- Proactively manage and anticipate the EVP's schedules, flagging critical meetings, deadlines, and potential conflicts.
- Lead the coordination of complex travel arrangements, including international itineraries, visa applications, and logistical details.
- Prepare high-level reports, presentations, and briefing materials for meetings and events.
- Handle confidential and sensitive information with the utmost professionalism and discretion.
- Act as a liaison between the EVP and other senior leaders within the company, ensuring efficient communication and follow-up on key initiatives.
- Organize executive meetings, events, and off-sites, ensuring that all logistics and materials are prepared in advance.
- Handle budget management, including expense tracking, invoice processing, and reconciliation for the EVP’s office.
Qualifications:
- Extensive experience (5+ years) as a senior personal assistant or executive assistant supporting C-level or senior executives.
- Strong understanding of executive office operations, including meeting planning, travel coordination, and project management.
- High-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Teams, SharePoint).
- Ability to manage multiple priorities and deliver under tight deadlines with minimal supervision.
- Exceptional written and verbal communication skills, with the ability to interact confidently with executives, board members, and external partners.
- Demonstrated ability to manage highly confidential information with discretion.
- Excellent problem-solving abilities and a proactive approach to managing challenges and opportunities.
